Automatic reminders and missed appointments: how Filomena handles them

A forgotten appointment is an empty slot in the diary. Here is why reminders help, and how Filomena sends them, reads the replies and turns them into data.

If you run a salon, a practice or a restaurant, you know it: sometimes the customer does not show up. The customer may forget the time, or not know how to cancel.

Why a reminder helps

A message shortly before the appointment recalls the date and time. If the customer cannot come, they need to be able to reply straight away, without phoning during opening hours. That way the slot is freed in time and can be offered to someone else.

A reminder works when it is simple: a short text, a channel the customer already uses, an easy reply.

How Filomena does it

Filomena is Lasagnaware's AI assistant that answers customers and manages bookings on the owner's behalf. It sends reminders by phone, WhatsApp and SMS, in the customer's language.

If the customer wants to reschedule or cancel, Filomena checks the calendar (Google Calendar, Outlook, Apple Calendar or Calendly) and proposes alternatives. If there is a waiting list, it manages it. When needed, it hands the conversation over to a person.

Filomena always states that it is an AI, as required by Article 50 of the AI Act.

Understanding what is happening

Filomena analyses requests: the most requested services and times, cancellations, no-shows. The owner sees where slots are being lost and can decide based on their own data, not on gut feeling.

Pricing, plans and activation are on filomena.app.
